Rollup by Document Type (metadata) in Card within new Search UI
We would like to see the ability to rollup documents by type, using metadata, within the new search UI and Industrial Canvas asset browser, as well as other places where users are looking for documents associated with an asset (similar request to this topic Cognite Hub). We have seen this in the legacy data explorer view and it was well received by our users and our document teams have started to shift their business process to tag documents with the appropriate metadata to enable this functionality.
Our assets can have hundreds of different documents associated with them, so an ungrouped list will make it hard for users to quickly find what they are looking for. In addition, we have some use cases where documents are snap-shot and stored as a part of a project file (e.g. P&IDs). Separating these duplicates into the correct rollup buckets will allow us to eliminate confusion on which files are most recent to use.
Example for old search:

The lack of structure and ability to contextualize engineering and operational documents has a direct impact on the user experience.
Hi @Andrew Wagner!
Thank you for suggesting this product idea. We will follow the traction this idea gets in the community. You can expect updates on this post if we decide to include this in our future roadmap, or if we require more information.
Hi @Andrew Wagner and @Martin Miller!
I fully agree with you. We are currently working on a good solution for enabling you to classify documents and have these available in the UI. I’ll get back to you when we have a clear timeline for release.
For now, an option is to use the Filter functionality for Files in the UI. If you e.g. have a “document type” metadata field, you can filter based on that. It is also possible to create “Saved filters” if you want to make it even easier to choose the right type in the UI. Sharing an example below;

Hi! Adding an update; We will include document classification in the Q4 release (Dec 3rd). Then you will be able to filter on document class, and as a user select what metadata you would like to see for all files corresponding to the document class(es) you selected.
NB; there will be some limitations on number of files being fetched per document class dor asset centric files, but not for Data Modelling Files.
I still recommend the solution I posted in previous message until we have document classification in place:)
Best, Sofie
Thanks for the update Sofie.
Can you please clarify if this will allow us to see those documents grouped (in the UI - see my original screenshot) by those classification types? Would we see them grouped in the Asset view files card, in the main file search, or both?
Also, will we be able to define our own document classes through our metadata or will Cognite be providing a those? Preferred that we can dictate our own classes as each customer might think differently about classes.
Hi @Andrew Wagner ! I'm sorry for missing your last reply in this thread; I’ll check why I did not receive a notification about it.
Please see the linked Product update post below for information on the release of document categories. We opted for an early release of document classes/document categorization (ahead of the upcoming quarterly release on December 3), and it is now available in production for asset-centric files. See the linked product update below:
Would we see them grouped in the Asset view files card, in the main file search, or both?
In both! In all places where you see a list of files/more than one file, you will have the option of a document categorization view.
Also, will we be able to define our own document classes through our metadata or will Cognite be providing a those? Preferred that we can dictate our own classes as each customer might think differently about classes.
Great question. For asset-centric files, we do not support custom document categories. Here we provide categorization based on the NORSOK standard (I have described the logic in thread of the linked product update post above). However, for Data Modeling, we will on December 3 (official quarterly release date) support document categorization based on the CogniteFileCategory property. Here, you can dictate your own classes.
I also know @Ivan Surif has engaged with your team on this topic, and can also help with further clarifications in the KAES context.
Let me know if I did not answer your questions or if I sparked any new!
